1. Introduction

Sho' Biz Intelligence Collectives ("we," "our," or "us") is the umbrella entity of Sho-Biz Intelligence Collectives LLC, based in Brooklyn, NY, home to a collective of data-driven ventures.

We respect your privacy and are committed to protecting your personal and business information. This policy explains what data we collect, how we use it, and the choices you have.

2. Information We Collect

We collect information only as needed to provide our services:

Contact details (name, email, phone, business name) when you inquire, book a consultation, or sign up for updates;
Scheduling information you provide when booking a consultation or appointment;
Information you submit through our intake, contact, or notarization forms;
Service-related files or data you voluntarily share for a project, submitted through our approved intake channels (see Section 4);
For notary services, identity documents and signature data required to complete notarization;
Technical information such as anonymized website analytics, cookies, and device type, used solely to improve our site's performance;
Payment data (when applicable) processed securely by our third-party payment processor; we do not store full card information.

3. How We Use Your Information

We use your information to:

Deliver and improve our services;
Communicate about projects, billing, and support;
Maintain internal records and comply with legal requirements;
Share marketing updates (only if you opt in).

We never sell or rent your information to others.

4. Third-Party Service Providers

To operate efficiently and securely, Sho' Biz Intelligence Collectives and the businesses within our collective rely on trusted third-party platforms to help deliver services, including:

TidyCal, Calendly, and/or SimplyMeet.me — for scheduling consultations and appointments;
Tally.so — for intake and contact forms;
Dropbox — for secure file storage and sharing;
Stripe — for payment processing;
Google Workspace and/or Microsoft 365 — for internal document management and project work;
Namecheap Private Email — for business email hosting;
Zoom — for video consultations and meetings; sessions are only recorded when requested by a participant, and recording begins only after all participants' consent has been confirmed, in accordance with applicable state recording-consent laws;
QuickBooks Online — for bookkeeping, accounting, and financial-record management;
Tax preparation software — a professional tax software selected annually; the specific provider may change year to year;
BlueNotary and/or OneNotary — for remote online notarization, including identity verification and e-signature services.

Not every platform listed above is used by every business within the Sho' Biz Intelligence Collectives family, or for every engagement. Businesses operating under our umbrella — including AI'ssist Book Pros, Dilige Data Studios, Hip Hop Data Initiative, and JP Linxx NYC — may use a different subset of these platforms, or maintain their own Privacy Policy specific to their services. For details on which platforms and data practices apply to a particular engagement, please refer to that business's own Terms of Service and/or Privacy Policy where available (for example, AI'ssist Book Pros' Privacy & Data Policy).

When you interact with any of these platforms — for example, booking a call, submitting a form, sending an email, joining a video call, completing a notarization, or making a payment — your information is also collected and processed directly by that provider, under that provider's own privacy policy and terms of service. Those policies govern how each platform stores, secures, and handles your data on its own systems, and are outside our direct control.

We select providers that maintain strong industry security and compliance standards, and we only use these platforms for legitimate business purposes connected to your service. However, we are not responsible for the internal data-handling practices, security incidents, or policy changes of these third-party providers. We encourage you to review each provider's own privacy policy for details:

Approved intake channels. For your security and ours, we only accept client files and sensitive information through channels we have specifically set up for your project — such as our intake forms, our official business email address, or a Dropbox link established for your engagement. We do not monitor, open, or act on files or links sent through unsolicited third-party file-sharing services, unfamiliar links, or other channels outside these approved methods, and we are not responsible for information sent that way. If you're ever unsure how to securely send us something, please ask.

5. Data Security & Storage

We take data security seriously and store client materials only in trusted, encrypted cloud environments, including:

Dropbox (for data collection and file sharing);
Google Drive and/or Microsoft 365 (for project work and internal management);
QuickBooks Online (for financial and accounting records).

Each platform we use complies with industry security standards (AES 256-bit encryption, SSL/TLS protection).

Access to these systems is limited strictly to authorized team members and is protected by multi-factor authentication.

Sensitive client files (such as receipts, financial records, identity documents, or tax documents) are never shared publicly or used for any purpose other than the contracted work.

6. Data Retention & Deletion

Client files uploaded to Dropbox or other project folders are retained only until:

The service is completed and confirmed by the client; or
Record-keeping laws require us to retain them (for example, for tax documentation or notarial records).

After that, files are securely deleted from shared folders.

Data held by our third-party providers (such as scheduling history or form submissions) is retained according to each provider's own retention practices, which we do not directly control.

Financial and tax-related records maintained in QuickBooks Online or our tax preparation software, and notarial records maintained through BlueNotary or OneNotary, are retained in accordance with applicable accounting, tax, and notary record-keeping requirements, even where longer than our general retention practice for other files.

7. Your Rights

You may request to:

Access or correct your personal data;
Withdraw consent for marketing;
Request data deletion (subject to legal retention obligations, and to the retention practices of any third-party provider that independently holds your data).

8. AI & Automation Use

We use AI and automation tools in two ways:

To analyze and process your data — for example, generating insights, dashboards, or reports from information you provide. In these cases, your files are handled within private, secured accounts, and human review is performed before any output is finalized.
To build custom internal tools for your business — for select projects, we may use AI-assisted development platforms (such as Claude or Lovable) to build a dashboard, tracker, or other tool for your own internal use, using your business data as part of that build. The specific platform used depends on the project and will be identified in your service agreement.

In all cases:

We select AI providers and account tiers that do not use your data to train public or open-source AI models, where such settings are available and verified;
Your data is never shared with unrelated third parties or other clients;
If a delivered tool remains connected to a live data feed or requires your data to keep functioning, this will be explained to you, including who can access that data going forward;
Use of a specific AI platform for your project, and any data-handling details particular to that platform, will be confirmed in writing in your service agreement before work begins.

Our website may link to partner or social sites. We are not responsible for the content or privacy practices of those websites.

10. Updates to This Policy

We may update this policy periodically. The latest version will always appear on this page with an updated "Last Updated" date.
